Summary: The Camping and Retreat Ministry is a part of the New York Conference of the United Methodist Church. All staff members are part of a team supporting a common ministry to youth and adults at Quinipet Camp and Retreat Center and Kingswood Campground. The Administrative Manager is an integral part of our camping program and will be expected to further our mission through the management of office functions.
Principal Duties or Tasks: Under the direction of the Executive Director, the Office Manager will manage all related administrative functions of the Camping & Retreat Ministry office, working closely with camp families, retreat groups, vendors, volunteers and staff to support our mission.
Responsibilities:
Serve as the welcoming and trusted point of contact for new and returning camp families and retreat groups.
Provide high level customer service, leading to strong camper and retreat group recruitment and retention.
Manage summer camper registration and required enrollment forms.
Manage retreat bookings, including required documents and timely communication.
Manage accounts receivable, including billing, banking and credit card processing.
Monitor and administer petty cash, camp store monies, and camp store inventory.
Manage all aspects of office organization, equipment & supplies.
Assist in training and coordinating work of seasonal office and camp store personnel.
Assist with promotion and marketing.
Attend appropriate staff meetings and participate in leadership and long-range planning for the program.
Perform other related duties as required.
Qualifications:
Vibrant, experienced individual, with stellar organizational skills and follow through.
Proficient in computer skills, including Microsoft Office and Quickbooks; ability to learn database management systems.
Ability to work independently, creatively problem-solve, and exercise good judgment in making decisions.
Ability to maintain professional demeanor in person, on the phone, and via email.
Demonstrated skills in organization, time and priority management, and project completion.
Must be in excellent health and have the ability to lift 25 pounds unassisted.
Two years full time or equivalent office preferred.
Salary and Benefits: This is a part time, year-round position; hours are flexible and camp age children are welcome at no charge. Pay rate: $20-$24 per hour, depending on experience. To learn more about our programs, please visit at: www.quinipet.org
